Instead of waiting for a paper check to arrive by mail or picking one up from the office, your earnings are electronically deposited directly into your bank account on payday. This guide will walk you through everything you need to know about setting up, managing, and troubleshooting your direct deposit.
Why Direct Deposit?
While BetterHealth can still issue paper checks if necessary, we strongly encourage all employees to use direct deposit for several important reasons:
- Immediate Access: Your money is available first thing on payday morning—no need to wait for mail or make a trip to the bank
- Security: No risk of lost, stolen, or damaged checks
- Convenience: No need to go to the bank or ATM to deposit your check
- Automatic: Once set up, your paycheck is deposited automatically every pay period
- Flexibility: Split your paycheck between multiple accounts (checking, savings, etc.)
- Eco-Friendly: Eliminates paper waste from check printing and mail
Setting Up Direct Deposit for the First Time
Setting up direct deposit is straightforward and typically takes just a few minutes. Here's everything you need to know to get started:
What You'll Need
Before you begin, gather the following information:
- Your bank routing number (9 digits) - This identifies your bank
- Your account number - This identifies your specific account
- Account type (checking or savings)
- A voided check or bank letter verifying your account information
Finding Your Bank Information: The routing number and account number can typically be found on your paper checks. The routing number is the first set of nine digits at the bottom left, and your account number follows it. If you don't have checks, you can find this information by logging into your online banking, calling your bank, or visiting a branch.
Step-by-Step Setup Process
Step 1: Log Into UKG
Access your UKG account at UKG.betterhealth.com using your employee credentials.
Step 2: Navigate to Payment Elections
From your UKG homepage, click on the "Pay" app, then select "Payment Elections." This is where you manage all your paycheck distribution settings.
Step 3: Add Your Bank Account
Click the "Add" button to add a new bank account. You'll be presented with a form asking for your bank details.
Step 4: Enter Your Bank Information
Carefully enter your bank's 9-digit routing number and your complete account number. Double-check these numbers—entering them incorrectly will cause your deposit to be rejected. Select whether the account is checking or savings.
Step 5: Upload Verification Document
UKG will ask you to upload a voided check or bank letter to verify your account information. To void a check, simply write "VOID" in large letters across the front. If you don't have checks, contact your bank and request an account verification letter. You can upload a photo or scan of this document.
Step 6: Set as Primary Account
If this is your only account, it will automatically be set as your primary account where 100% of your paycheck will be deposited. If you're adding additional accounts for split deposits (covered below), you'll specify distribution amounts in the next step.
Step 7: Review and Submit
Carefully review all information for accuracy, then click "Submit." Your request will be sent to Payroll for approval and verification.
Timing and First Deposit
Once you submit your direct deposit setup, Payroll typically approves it within 1-2 business days. Your first direct deposit will begin with the next full pay period after approval. For example, if you submit your information on March 10th and it's approved on March 12th, and the next pay period ends March 15th with payday March 22nd, your first direct deposit should occur on March 22nd.
Important: If your direct deposit setup isn't approved before payroll processing begins for a given pay period, you'll receive a paper check for that period. Direct deposit will begin with the following pay period.
Split Deposits: Dividing Your Paycheck
One of the great features of direct deposit is the ability to split your paycheck among multiple bank accounts. This is perfect for automatically directing part of your pay to savings, paying bills from a specific account, or managing separate checking and savings accounts. Many employees use this feature to "pay themselves first" by automatically saving a portion of each paycheck.
How Split Deposits Work
BetterHealth allows you to set up multiple bank accounts and distribute your paycheck among them in two ways:
Percentage-Based Distribution
You can specify what percentage of your paycheck goes to each account. For example:
- 80% to checking account (for bills and daily expenses)
- 15% to savings account (building your emergency fund)
- 5% to secondary savings (for vacation or special goals)
The percentages must total 100%. This method is great if you want your savings to scale proportionally with any pay increases or overtime earnings.
Fixed Amount Distribution
Alternatively, you can specify fixed dollar amounts. For example:
- $500 per paycheck to savings account
- $200 per paycheck to investment account
- Remainder to checking account
This method ensures you save a specific amount each pay period regardless of earnings variations.
Setting Up Split Deposits
- In UKG, go to Pay → Payment Elections
- If you haven't already, add all the bank accounts you want to use
- For each account, specify either a percentage or fixed amount
- Designate one account as "Remainder"—this account will receive whatever's left after other distributions
- Review your distribution to ensure it makes sense, then submit
Tip: Your "remainder" account should be your primary checking account—the one where you're okay with having extra money land if your calculations result in more than expected.
Changing Your Direct Deposit Information
There are many reasons you might need to change your direct deposit—switching banks, opening a new account, closing an old account, or adjusting your split deposit distribution. Here's how to make changes:
Changing Account Information
If your bank account number or routing number has changed (perhaps your bank was acquired by another, or you got a new account), follow these steps:
- Go to Payment Elections in UKG
- You have two options:
- Edit existing account: Click on the account and update the information
- Delete and add new: Remove the old account and add the new one as a fresh entry
- Upload new verification (voided check or bank letter) for the updated account
- Submit your changes
Important Timing Tip: Changes to your direct deposit become effective with the next full pay period after approval. Until your first deposit hits the new account, keep your old bank account open and monitor it. Don't close your old account until you've confirmed that your paycheck is successfully depositing into your new account.
Adjusting Split Deposit Distribution
Want to save more or adjust how your paycheck is divided? You can modify your distribution at any time:
- Navigate to Payment Elections
- Edit the distribution percentages or amounts for each account
- Ensure your percentages still total 100% if using percentage-based distribution
- Submit the changes
Distribution changes typically take effect with the next pay period.
Adding or Removing Accounts
You can add additional bank accounts at any time using the same process as initial setup. To remove an account, simply select it in Payment Elections and choose "Delete." If the account you're removing currently receives a distribution, make sure to update your distribution settings so the money goes elsewhere.
Troubleshooting Common Direct Deposit Issues
While direct deposit is generally very reliable, occasional issues can occur. Here's how to address common problems:
Deposit Was Rejected
What happened: Your bank rejected the deposit, usually due to incorrect account information.
Solution: Log into UKG and verify your routing and account numbers are correct. Pay special attention to the account number—entering extra digits or missing digits is the most common cause. Update the information if needed and resubmit. You'll receive a paper check for the rejected payment, which will be mailed to your address on file.
Deposit Is Delayed
What happened: You haven't received your deposit on payday morning.
Solution: First, check that it's actually payday (check your pay schedule). New direct deposit setups can take 2-3 business days to fully process at some banks. If your deposit shows as processed in UKG but isn't showing in your bank account by end of business on payday, contact your bank—they may be holding it for verification. Also contact Payroll to verify the deposit was sent successfully.
Wrong Amount Deposited
What happened: The deposit amount doesn't match what you expected.
Solution: Log into UKG and review your pay stub for the period in question. Check for any deductions like benefits, 401(k) contributions, or garnishments. If you have split deposits, verify that your distribution percentages or amounts are set correctly. If everything looks correct in UKG but the deposit is still wrong, contact Payroll immediately.
Deposit Went to Wrong Account
What happened: Your paycheck deposited into an unintended account.
Solution: Review your Payment Elections to ensure accounts are set up correctly and distributions match your intentions. If you recently changed accounts, verify you made the change before the payroll cutoff for that pay period. Contact Payroll if you believe an error occurred on their end.
Split Deposit Not Working as Expected
What happened: Your money isn't dividing among accounts as planned.
Solution: Check your distribution setup in UKG. Common issues include percentages that don't add up to 100%, forgetting to designate a remainder account, or setting a fixed amount that's higher than your net pay. Review and adjust as needed.
Direct Deposit Security
Direct deposit is one of the most secure ways to receive payment, but you should still take precautions to protect your information:
- Verify your deposit: Check your bank account on payday to confirm your deposit arrived and the amount is correct
- Review pay stubs: Regularly review your pay stubs in UKG to catch any discrepancies
- Protect your banking information: Never share your bank account details via email or unsecured channels
- Update promptly: If you close a bank account, immediately update your direct deposit in UKG
- Monitor for fraud: Regularly review your bank statements for unauthorized transactions
Direct Deposit and Final Paychecks
When you leave BetterHealth, your final paycheck will be directly deposited to your account on file if possible, according to state law requirements for final pay. Some states require final pay to be issued immediately or very quickly, which may mean you receive a paper check if the timing doesn't allow for direct deposit processing. However, in most cases, your final pay will direct deposit on the next regular payday.
Switching from Paper Checks to Direct Deposit
